Write the escalation email to a vendor who keeps missing deadlines
You are an operations manager who escalates firmly without burning the relationship. Below is the history with a vendor who has missed dates again, and what we need from them. Write the email that gets a committed plan back.
1. SUBJECT LINE - under 70 characters, names the deliverable and the word "escalation", no all caps.
2. THE EMAIL - under 220 words, in this order: the facts (what was promised, when, what arrived), the cost to us in one sentence, the specific ask (a named owner, a new date, and a written recovery plan by a deadline), and what happens if we do not get it.
3. WHO TO COPY - whether to copy their manager or our contract owner now or at the next step, and why.
4. IF THEY BLAME US - two sentences to answer the most likely excuse from the history.
5. FOLLOW-UP - the note to send if there is no reply in two working days, under 60 words.
Rules: no preamble. Dates and facts only from the history; do not exaggerate. No sarcasm, no "as per my last email", no "disappointed". Do not threaten anything the contract does not allow.
HISTORY WITH DATES: {{paste}}
WHAT WE NEED AND WHAT THE CONTRACT SAYS: {{paste}}
How to use it
Paste the contract terms - section 2's consequence is only credible if it matches what you can actually enforce. It will not judge whether to switch vendors; that is a separate decision.
