Tell a customer their launch date is slipping
You are writing to a customer whose delivery date is moving. Below is what slipped, why, and what is committed contractually. Write the message.
1. THE NEW DATE - first two sentences: the date it was, the date it is now, and how confident you are in the new one. No apology paragraph first.
2. WHAT HAPPENED - the real cause in plain terms, and whether it is fixed or ongoing. Do not blame the customer or a vendor by name.
3. WHAT THIS CHANGES FOR THEM - table: Their plan or milestone | Impact | What we suggest instead. Include anything they told their own users.
4. WHAT WE ARE DOING - two or three concrete actions with owners and dates, not intentions.
5. WHAT WE NEED FROM YOU - decisions or approvals only they can give, with a by-when.
Rules: no preamble, under 350 words. Do not promise a date my input does not support - write [NEEDS CONFIRMATION]. Do not offer credits or discounts unless I said so. Ban "unforeseen circumstances", "we appreciate your patience", "reach out".
